Who we are

United Otters ("we," "us") is a sports media production company that runs The Roster — full-production athlete media days for schools, athletic clubs, and college programs across the United States. Information we collect

Booking and contact information. When you submit the booking form or contact us directly, we collect your name, role, school or club, email address, phone number, and the contents of your message. Our booking form is processed by our website host (Netlify).

Usage data. We use Google Analytics 4 and Microsoft Clarity to understand how visitors use this site: pages viewed, approximate location (city level), device and browser type, referral source, and interactions such as clicks and scrolling. Microsoft Clarity may record anonymized session replays and heatmaps of how visitors move through pages. We do not use this data to identify individual visitors, and form fields are masked in session recordings.

Cookies. The analytics tools above set cookies to distinguish visitors and sessions. You can block or delete cookies in your browser settings, opt out of Google Analytics with Google's browser add-on, and we honor Global Privacy Control signals where required by law.

Photos and video of athletes

Media days involve photographing and filming athletes, many of whom are minors. Production happens only under an agreement with the school or club, and athlete participation is governed by release and consent forms collected before or on production day, including parent or guardian consent for minors. Nothing filmed at a media day is collected through this website. A parent or guardian may contact us at hello@unitedotters.com with questions about their athlete's media, including requests to remove content from our own marketing channels.

How we use information

We use the information above to respond to inquiries; to plan, schedule, and produce media days; to deliver galleries, videos, and content libraries; to improve this website and our services; and to send service-related communications about a booking or delivery. We do not send marketing email without consent, and we do not sell personal information.

How we share information

We share personal information only with service providers who help us run the business — website hosting and form processing (Netlify), analytics (Google, Microsoft), payment processing for athlete package purchases, and content-delivery platforms — with the school or club involved in a production as part of delivering the service, and where required by law. Service providers process data on our behalf under their own privacy and security obligations.

Data retention

Booking inquiries are kept for up to 24 months after the last contact. Signed release and consent forms are kept for 3 years after the related production. Produced media remains in the private media hub for at least 12 months after delivery; after that we may archive it.

Children's privacy

This website is directed at athletic directors, coaches, and administrators — not at children — and we do not knowingly collect personal information from children through it. Athlete media produced during The Roster is collected offline under school agreements and guardian consent as described above.

Your rights

You can request access to, correction of, or deletion of your personal information by emailing hello@unitedotters.com, and we will respond within the timeframes required by applicable law. Depending on your state, you may have additional rights under state privacy laws; we do not sell personal information or share it for targeted advertising.

Security

We use reputable providers, encrypted connections (HTTPS), and access controls to protect the information we hold. No method of transmission or storage is 100% secure, but we work to protect your information appropriately.

Changes to this policy

If we change this policy, we will post the updated version here with a new "last updated" date.
